Main Responsibilities
The Document Management Specialist will be responsible for:
- Developing, implementing, and maintaining document management and archiving policies.
- Promoting awareness and training of EBA staff on these policies.
- Ensuring compliance with document management procedures across all departments.
- Managing the lifecycle of documents, including registration, access, distribution, preservation, disposal, and archiving.
- Ensuring the physical and digital security of sensitive documents.
- Facilitating horizontal coordination between EBA units.
- Conducting regular audits to monitor policy implementation and identify improvement areas.
- Representing the EBA in document management-related networks.
- Performing other duties as required by the Head of the Policy Analysis and Coordination Unit.
Requirements
1. Eligibility Criteria
- Must be a national of an EU Member State, Iceland, Liechtenstein, or Norway.
- Must have full citizen rights and have fulfilled any military service obligations.
- Must be physically fit for the role.
- Must provide a certificate of no criminal record and undergo a medical examination.
2. Qualifications
- Must have a university-level education (at least 3 years) with a diploma.
- Qualifications must be from an EU/EEA authority or recognized as equivalent.
- If obtained outside the EU, must be recognized by an EU Member State authority.
3. Professional Experience
- Minimum of 4 years of full-time professional experience.
- At least 2 years of experience in document management, policy development, and implementation.
4. Language Proficiency
- Excellent knowledge of English (both written and spoken).
- Native English speakers must demonstrate proficiency in a second EU language.
- Knowledge of other EU languages is an advantage.
Selection Criteria
- Sound knowledge and experience in document management.
- Familiarity with document and archive management techniques.
- Experience in implementing consistent and compatible procedures.
- Experience in classifying documents.

Selection Procedure

Appointment and Employment Conditions
- The position is a fixed-term contract of three years with a nine-month probation period and possible extension.

- The candidate will be recruited into Function Group IV, with a minimum monthly basic salary of €3,246.70.

- Salaries are exempt from national tax and are subject to Union tax at source.
- The correction coefficient for the UK applies to the remuneration.
