Main Purpose
The position of Administrative Assistant is aimed at providing essential administrative and organisational support to various EBA teams involved in regulation, home-host support, risk analysis, policy analysis, consumer protection, and operations. The role is crucial for maintaining the efficiency and effectiveness of the EBA's work across different areas and ensuring adherence to the Work Program's deadlines and milestones.
Main Responsibilities
- Provide administrative support and coordination to EBA teams.
- Facilitate the exchange of information among national authorities and international bodies.
- Encourage compliance with the EBA Work Program deadlines.
- Support internal and external working groups and specific projects.
- Serve as a point of contact with national supervisory authorities and international organisations.
- Schedule and organise meetings, workshops, and seminars.
- Organise internal training and manage contracts with training providers.
- Prepare documents, dossiers, and summary reports (including Excel spreadsheets).
- Screen, file, and manage EBA correspondence and emails.
- Perform general office and administrative duties.
Requirements
1. Eligibility Criteria
- Must be a national of an EU Member State, Iceland, Liechtenstein, or Norway.
- Must have full citizen rights and have fulfilled any military service obligations.
- Must be physically fit for the role.
- Must have a certificate confirming no criminal record and be medically examined.
- Must have post-secondary education or secondary education with access to post-secondary education, along with at least one year of relevant professional experience.
- Must have at least three years of proven full-time professional experience in a similar position.
- Must have excellent knowledge of English (written and spoken), and knowledge of other EU official languages is an advantage.

- Proven experience as an administrative assistant.

Selection Procedure
- A selection committee will be formed to evaluate applications.
- Shortlisted candidates may be invited to written tests and interviews.
- Written tests are in English and assess written communication, job-related knowledge, and drafting skills. Minimum score: 6 out of 10.
- Interviews are conducted in English and evaluate the candidate's suitability, professional knowledge, and motivation. Minimum score: 6 out of 10.
- Successful candidates will be ranked by merit. Those scoring 12 or more may be placed on a reserve list valid until 31 December 2013.
- The selection process is strictly confidential, and contact with committee members is prohibited.
Appointment and Employment Conditions
- Contract type: Fixed-term for two years, with a nine-month probation period and possible extension.
- Expected start date: 1 December 2012 or 1 January 2013.
- Grade: FG III.
- Estimated monthly basic salary: €2,457.08.
- Salaries are exempt from national tax and subject to a Community tax at source.
- A correction coefficient of 34.4% applies.
- Additional benefits may include expatriation allowance, household allowance, dependent child allowance, education allowance, installation allowance, and reimbursement of removal costs.
- Annual leave: Two days per calendar month, plus additional days based on age, grade, and distance from the place of origin.
- Benefits include EU Pension Scheme, sickness and accident insurance, unemployment and invalidity allowance, and travel insurance for missions.
