The European Banking Authority (EBA) is an independent EU authority established in 2011 under Regulation (EC) No. 1093/2010. The EBA is currently seeking an Operations Support Assistant to be based in its London office. This position is part of the EBA's operations team and is under the responsibility of the Director of Operations.
Main Purpose
The Operations Support Assistant will provide efficient and effective administrative and operational support to ensure the smooth functioning of the EBA's core business activities. The role is essential in managing the operational aspects of the EBA's London office.
Key Responsibilities
- Acting as the main contact for external service providers and partners, responding to inquiries and managing orders.
- Supporting staff with operational tasks and ensuring the effective administration of the EBA premises.
- Maintaining records of contracts and assisting in tender processes.
- Managing the budget for operations support, including monitoring, forecasting, and initiating financial transactions.
- Undertaking various administrative activities to meet operational targets and drive continuous improvement.
Requirements
1. Eligibility Criteria
- Must be a national of an EU Member State, Iceland, Liechtenstein, or Norway.
- Must be entitled to full citizen rights.
- Must have fulfilled any military service obligations.
- Must be physically fit.
- Must provide a certificate of no criminal record and pass a medical examination.
2. Qualifications
- Must have either:
- A post-secondary education diploma, or
- A secondary education diploma that gives access to post-secondary education, along with at least three years of relevant professional experience (if post-secondary is not obtained).
- Qualifications must be from EU or EEA Member State authorities or recognized as equivalent.
3. Professional Experience
- Minimum of 3 years (for post-secondary graduates) or 6 years (for secondary education graduates) of full-time professional experience in supporting the operations of a business or organization.
4. Language Requirements
- Excellent knowledge of English (written and spoken).
- Knowledge of other EU official languages is an advantage.
5. Selection Criteria
- Proven administrative and operational support experience at EU or international level.
- Excellent organisational and time management skills.
- Experience in initiating financial transactions related to operations.
- Experience in dealing with external service providers, including tender specification preparation.
- Strong IT skills, particularly in MS Office and database management.
- Flexibility, proactivity, and attention to detail.
- Good communication skills and the ability to interact professionally with a diverse group.
- Ability to handle sensitive information discreetly and confidentially.
- Teamwork spirit and positive attitude.
Selection Procedure
- A selection committee will evaluate applications based on CV, motivation letter, and eligibility and selection criteria grid.
- Shortlisted candidates may be invited to written tests and interviews, both conducted in English.
- Written tests: Total score of 10, minimum score to pass: 6.
- Interviews: Total score of 10, minimum score to pass: 6.
- Successful candidates will be ranked by merit. Those scoring 12 or above will be placed on a reserve list valid until 31 December 2012.
Appointment and Employment Conditions
- The position is a temporary agent fixed-term contract of three years with a probation period of six months, and possible extension.
- Expected start date: 1 September 2012.
- Grade: AST 3.
- Estimated monthly basic salary: €3,397.73.
- Employment benefits include:
- Exemption from national tax; Community tax at source is paid.
- Correction coefficient of 34.4% applies.
- Potential entitlement to allowances based on family situation and origin (expatriation, household, dependent child, etc.).
- Annual leave: 2 days per calendar month plus additional days based on age, grade, and distance from origin.
- Access to the EU Pension Scheme after 10 years of service.
- EU Joint Sickness and Insurance Scheme, accident and occupational disease insurance, unemployment and invalidity allowance.
- Travel insurance for missions.
