The European Banking Authority (EBA) is seeking a Personal Assistant to provide support to its management. Main Purpose
The main purpose of the Personal Assistant position is to offer personal, administrative, and organisational support to the EBA's management in their daily tasks. This includes managing schedules, coordinating meetings, and supporting external engagements.
Main Responsibilities
- Provide personal and administrative assistance to managers.
- Coordinate meetings, seminars, and workshops with external stakeholders.
- Prepare dossiers for meetings and ensure their timely finalisation and distribution.
- Manage correspondence and documents, including filing and archiving.
- Act as a point of contact for incoming enquiries.
- Support the coordination of external missions and engagements.
- Cover for other administrative staff when absent.
- Execute other general office and administrative duties as needed.
Requirements
1. Eligibility Criteria
- Nationality: EU Member State or EEA (Iceland, Liechtenstein, Norway).
- Full citizen rights.
- No outstanding military service obligations.
- Proficiency in one official EU language (English is the working language) and satisfactory knowledge in another.
- Physical fitness to perform the duties.
2. Selection Criteria
- At least 5 years of relevant full-time professional experience as a personal or administrative assistant to management.
- Proven experience in coordinating meetings with external stakeholders, including taking minutes.
- Experience in preparing dossiers for meetings and events.
- Experience in an EU or multicultural environment.
- Proficiency in managing diaries, itineraries, and multiple tasks.
- Experience with databases and document management systems.
- Excellent skills in using MS Office applications (Word, PowerPoint, Excel, Outlook).
Advantageous Qualifications
- Knowledge of French at least at B2 level.
- Familiarity with EU decision-making processes.
Appointment and Conditions of Employment
- Contract Type: Fixed-term contract for 3 years, with a probation period of 9 months and possible extension.
- Estimated Start Date: 16 January 2020.
- Function Group and Grade: FG IV.
- Monthly Basic Salary: €3,462.02 (net salary may vary based on allowances).
- Employment Location: Europaplaza, 20 Avenue André Prothin, La Défense 4, 92400 Courbevoie, France.
Conditions of Employment Summary
- Taxation: Salaries are exempt from national tax; Union tax is applied.
- Allowances: Depending on family situation and origin, candidates may be entitled to expatriation, household, child, education, and other allowances.
- Leave Entitlement: 2 days per calendar month, plus 2.5 days of supplementary home leave for those with expatriation allowances.

Selection Procedure
