The European Banking Authority (EBA) is seeking a Personal Assistant to provide secretarial, administrative, and organisational support to senior management. Main Purpose
The main purpose of the Personal Assistant role is to support senior management in their daily business and personal tasks, ensuring smooth operations and effective communication within the EBA and with external stakeholders.
Main Responsibilities
- Provide secretarial, administrative, and personal assistance to senior managers.
- Manage time, itineraries, and diaries.
- Schedule, coordinate, and prepare meetings; prepare dossiers, take notes, and coordinate briefings.
- Manage correspondence and documents, including filing and archiving.
- Serve as a point of contact for incoming inquiries.
- Support external stakeholders and visitors.
- Cover for other administrative staff in their absence.
- Ensure flexibility in task execution.
- Perform any other organisational or administrative duties as required.
Requirements
1. Eligibility Criteria
- Must be a national of an EU Member State or the EEA (Iceland, Liechtenstein, Norway).
- Must be entitled to full citizen rights.
- Must have fulfilled any applicable military service obligations.
- Must have a thorough knowledge of one EU official language and a satisfactory knowledge of another.
- Must be physically fit for the role.
2. Qualifications
- Must have completed at least three years of university studies, evidenced by a diploma.
- Must have at least one year of relevant professional experience.
- Must have at least 3 years of proven full-time professional experience as a personal assistant to senior management.
3. Language Skills
- Excellent knowledge of English (both written and spoken).
- Native English speakers must demonstrate proficiency in a second EU language.
4. Selection Criteria
- Proven experience in an EU or multicultural/international environment.
- Experience in managing diaries, organising meetings with multiple stakeholders, and taking minutes.
- Experience with databases and document management systems.
- Strong MS Office skills (Word, PowerPoint, Excel, Outlook).
- Advantageous to have knowledge of French at B2 level.

Selection Procedure
- The selection committee will review applications and shortlist candidates.

- Written tests are in English and assess communication, knowledge, and drafting skills. Minimum score: 6 out of 10.
- Interviews are in English and assess suitability, professional knowledge, and motivation. Minimum score: 6 out of 10.
- Successful candidates with a total score of 12 or above will be placed on a reserve list valid until 31 December 2020.
- Declaration of conflict of interest is required before recruitment.
Appointment and Employment Conditions
- Contract Type: Fixed-term, 3 years with a 9-month probation period and possible extension.
- Salary: Estimated monthly basic salary of €3,462.02.
- Benefits: Includes expatriation allowance, annual leave (2 days per month + additional days), sickness and accident insurance, travel insurance, and other EU-related benefits.
- Taxation: Salaries are exempt from national tax and subject to Union tax at source.
