Position Overview
The EBA is currently seeking a Personal Assistant (Cover for Maternity Leave) to support the Chairman in his daily tasks, including secretarial and administrative functions, and to provide backup to the Executive Director. The role requires managing the Chairman’s schedule, organizing meetings, handling communications, and performing general office duties. The position is temporary, with a contract of one year, a probation period of nine months, and the possibility of extension.
Main Responsibilities
- Acting as the first point of contact with internal and external stakeholders.
- Managing the Chairman’s diary, schedule, and providing backup to the Executive Director.
- Scheduling meetings, taking notes, preparing meeting dossiers, and ensuring the Chairman is well-prepared.
- Coordinating with other senior staff assistants.
- Arranging domestic and international travel, including itinerary planning and post-travel documentation.
- Screening and managing phone calls, mail, and emails.
- Handling correspondence on behalf of the Chairman.
- Document filing, archiving, and internal document production.
- Interacting with visitors and performing general office duties.
- Covering for other secretarial staff in their absence.
Requirements
Eligibility Criteria
- Language: Thorough knowledge of one EU language and satisfactory knowledge of another.
- Nationality: Must be a national of an EU Member State, Iceland, Liechtenstein, or Norway.
- Legal Rights: Full citizen rights and no criminal record.
- Military Service: Must have fulfilled any applicable military obligations.
- Physical Fitness: Must be physically fit to perform the duties.
Qualifications
- A diploma corresponding to at least three years of university education.
- Recognition of qualifications by EU or EEA authorities or equivalent.
Professional Experience
- At least 6 years of full-time professional experience as a personal assistant to senior management.
- Experience is counted from the date of obtaining the relevant diploma or certificate up to the closing date.
Language Skills
- Excellent knowledge of English (both written and spoken).
- Native English speakers must demonstrate proficiency in a second EU language.
Selection Criteria
- Experience in supporting senior management with responsibilities similar to the job description.
- Knowledge of other EU languages.
- Good understanding of EU or multicultural/international working environments.
- Strong proficiency in Word, PowerPoint, Excel, and Outlook.

Selection Procedure

Appointment and Employment Conditions
