Main Responsibilities
Present Contractor's Responsibilities
- Prepare and organise transfer activities based on the existing website infrastructure, including:

- Secured FTP connection
- Create an installation manual that allows the future contractor to install, setup, and configure the EBA website on the production environment.
- Package supporting documents including:
- Analysis material: Requirements Analysis, Non Functional Requirements, Database Model, System Architecture Document, Site Map
- Design material: Images & Illustrations, Screen Designs, Style Guide
- Development material: Detailed Installation Manuals, Source Code, System Operation Manual, User Manual, Release Notes
- Testing material: Test Strategy, Test Plan, Test Cases, Factory Acceptance Report
- Provide support until the website services are fully operational, ideally through a training session.
- Transfer domain names at the start of the new contract to avoid downtime.
- Close transfer activities by signing off "Services Transfer Acceptance".
- Delete all EBA website-related content from its servers after the successful transfer.
Future Contractor's Responsibilities
- Create new infrastructure aligned with the current architecture.
- Install and configure the EBA website on the production environment.
- Gain full knowledge of the website and establish a dedicated team to operate it.
- Retain current domain names and provide the regulatory domain name.
- Sign off on "Services Transfer Acceptance" to confirm the transfer is complete.
Key Milestones and Deadlines
- T0 (Handover initiation date): The start of the transition process.
- T0 + 1 week: Handover Plan produced and agreed.
- T0 + 2 weeks:
- Handover material (including training material) produced and delivered.
- Software assets and repository content fully transferred.
- T0 + 3 weeks:
- Knowledge transfer organised.
- New infrastructure prepared and ready for installation.
- T0 + 7 weeks:
- EBA website fully installed and configured.
- Future contractor fully in charge.
- "Services Transfer Acceptance" signed off by EBA, present contractor, and future contractor.
Important Remarks
- Downtime during the implementation must be less than 1 hour and carried out during the weekend to minimise disruption.
- The Handover invitation will begin when the new contract comes into force, which the EBA expects to occur by mid-June 2016.
- All transition activities must be completed by the end of the current contract deadline, which is 2/8/2016 + 2 weeks.
